Your personal sphere of influence:

The Institute of Geography and Regional Research offers a dynamic international working environment. As an organizational assistant, you will support the Institute of Geography and Regional Research and carry out administrative tasks related to personnel, budget and teaching independently and provide support in various administrative matters.

This is what you do:

They support the academic staff in the organization and administration of their research and teaching tasks.
This means, among other things:
– You organize meetings, workshops and (larger) events.
– You will provide support with press relations (inquiries, mailings, etc.) and oversee the communication plan.
– You organize travel activities incl.
excursions and settle their accounts.
– You will provide teaching support for examinations (preparation, supervision, revaluation, etc.) and assessments.
– You will provide support in the preparation of German-language publications, incl.
proofreading and editing of scientific texts.

– You will support scientific research/third-party funded projects, e.g. with applications, implementation, billing and reviews/audits.
– You are the central contact person for institute issues. You will be responsible for correspondence in English and German with all interfaces, both with the faculty and externally.
– They supervise employees, guest researchers and cooperation partners from the international context.
– You will administer tendering/recruiting processes and provide support with the onboarding of new employees.
– You will take on functions in IT-supported university administration systems (e.g. time and travel officer; reimbursement applications).

That is part of your personality:

Your special working style: You like to work independently and in a structured manner, are service-oriented, communicative and solution-oriented. You are a team player and have good interpersonal skills.

– Professional experience in office management (preferably in a scientific/university context)
– General or vocational secondary or higher school (Matura) or commercial apprenticeship qualification
– Very good MS Office skills (especially Excel and Power Point)
– Very good German and good English skills (spoken & written)
– Experience with content management systems (e.g. Typo 3, wordpress) & social media
– Experience with SAP is an advantage
– High level of written and oral fluency in German and English
– Organizational skills
– Ability to work independently and autonomously
– Ability to support a diverse team
– Ability to work under time pressure
– Knowledge of university structures is an advantage
